A 2026 purchasing desk

The desk is an ERP the company already runs: SAP, Oracle, NetSuite, or a smaller system that still has a requisition, a purchase order, and a receipt. The requisition names the item, the quantity, the need date, and the person who approved it. Your order copies those fields. A cheaper lookalike you found is a different item. Stop and send it back for approval. Do not "save the company money" by swapping the specification. The plant will discover the swap at the machine, which is the expensive time to discover it.

Three quotes belong in the file when the policy says three. Save each quote with its date and the quantity it prices. Compare the same quantity. Do not drop a quote because the vendor is slow to email or because you already prefer another. A verbal low price that never hits the file becomes a dispute at invoice time, and you will not remember it accurately. A general assistant can build a comparison table from quotes you paste. Tell it not to add a vendor and not to declare a winner. The winner is the rule in the policy: lowest price that meets the spec, or the approved supplier, or whatever the file actually says. If you do not know the rule, ask. Do not let the draft invent one.

Receipts close the loop. A purchase order that is not received is not finished. When the promise date passes, ask where that order is. Do not cut a second order to hide the first. You call, and you write what they said, in the system, the same day.

Terms, tax, and what stays out of the prompt

Incoterms, payment terms, and tax treatment are whatever the contract and the finance office already use. If you need a definition, open the source they named. A search assistant that offers a confident clause is not a clause. Paste nothing that includes a bank account, a full vendor tax identifier, or a price the company marks confidential. A quantity and a required date are enough to draft a chase note.

Maverick buying, the order a department places outside the process, shows up as an invoice with no purchase order. Your useful response is to record it and send it back through the requisition path, not to quietly create a purchase order after the fact unless finance tells you to. A clean file is the thing an audit can read. A helpful file that rewrites history is the finding.

Lead time is a date the vendor stated, plus the internal days your warehouse needs, if the sheet lists those days. Do not compress it to make a production meeting feel better. If the date misses the plant's need, say the miss while there is still time to change the plan. A buyer who hides the miss until the line is down has traded a calendar problem for a shutdown.

The wide band, stated plainly
